EFFECTIVE WEDNESDAY APRIL 8, 2020, THE HOMES ASSOCIATION/ART JURY WILL ONLY BE ACCEPTING ELECTRONIC FILES FOR REVIEW

READ THE DIRECTIONS BELOW FOR INFORMATION

Following the guidance and recommendations of Federal, State and Local authorities, we have closed our doors to the public until directed to do otherwise.  We understand this presents an inconvenience and your patience is appreciated during these extraordinary times.

Most of the services we provide are still available but the recommendations regarding social distancing and sterilization have limited our ability to work hands-on with homeowners and has eliminated the opportunity for homeowners, architects, contractors, etc. to review plans at the counter.  Only one staff member will be in the office during normal hours of operation. The rest of the staff will be working remotely doing whatever is necessary to keep your projects moving forward during this transitional period.  Please be aware that you may experience some delays from the staff as well as the Art Jury as they can no longer meet in close proximity to review applications.

IN ORDER FOR PVHA STAFF TO OPERATE MORE EFFICIENTLY, AVOID UNNECESSARY DELAYS AND MAINTAIN A SAFE ENVIRONMENT DURING THIS CRISIS, WE ASK THAT YOU FOLLOW THE DIRECTIONS AND CONDUCT ALL CORRESPONDENCE THROUGH pvha@pvha.org

PLEASE DO NOT EMAIL INDIVIDUAL STAFF MEMBERS DIRECTLY REGARDLESS OF PREVIOUS BUSINESS PRACTICE AS THEY WILL BE PROVIDING SERVICES IN THE ORDER IN WHICH THEY ARE RECEIVED.

HOW TO PROCEED for general assistance

  • EMAIL ALL INQUIRIES TO pvha@pvha.org.
  • Provide your name, phone number and a brief explanation for your email.  If your inquiry is associated with a specific project, provide that property owner’s name and the address of the property.
  • If you want your email forwarded to a specific staff member, please provide ATTN TO:  in the subject line. 
  • Emails will be answered in the order they are received. 
  • If you do not use email, we fully expect you to call our office.  However, you will be prompted to leave a message.  A staff member will call you at their earliest convenience.

HOW TO PROCEED for submitting Applications++

1. NEW TO THE PROCESS?  REFER TO THE ARCHITECT’S KIT.*

Everything a homeowner needs to know about their responsibility to the Palos Verdes Homes Association, their immediate neighborhood and the community at large can be found in the ARCHITECT’S KIT*.  If you are preparing plans for submittal, refer to the checklist in the kit for required information.\

2. DETERMINING THE CORRECT APPLICATION AND FEES.

Email us at pvha@pvha.org.  Provide your name, phone number, type and description of submittal and electronic copies of the preliminary plans.  We will ascertain which application is required, calculate the application fee and review the plan for completeness.

3.  DOCUMENTS REQUIRED FOR A COMPLETE APPLICATION:

THE APPROPRIATE APPLICATION*

  • Fill out the required fields: Name, Project address, Phone No, Email, Description of proposed work including square footages, brand names, materials, etc. and signatures.
  • See the example form in the case outside the PVHA office.
  • Applications do vary, so read the directions carefully and provide any other documentation required.
  • Email the completed application to pvha@pvha.org or drop in our mailbox outside our office door

PAYMENT BY CHECK OR A CREDIT CARD PAYMENT AUTHORIZATION FORM.*

  • Email the completed and signed Authorization form to pvha@pvha.org or drop a check off in our mailbox mounted on the corner of the building outside our front door.  (Authorization forms will be shredded once payment is approved).

IMPORTANT!!! DO NOT LEAVE THE AUTHORIZATION FORM IN OUR MAILBOX.

PVHA shall not be held responsible for any person’s inability to follow the direction above.

PHOTOGRAPHS OF EXISTING PROPERTY

  • Images should show front and rear yards and all sides of any structure on the property.
  • Digital photos are preferred. Email photos along with application to pvha@pvha.org . Hard copy of photos can be printed on 8 ½” x 11” paper with a maximum of four to a sheet

ELECTRONIC FILES OF DRAWINGS (.pdf)

  • At this time, the Palos Verdes Homes Association and the Art Jury are only accepting electronic files of drawings for review.
  • Refer to the ARCHITECT’S KIT* for a checklist of required information.
  • Preliminary plans should contain a site plan, a survey (if necessary), floor plans, exterior elevations and a roof plan.
  • CITY OF PVE LOT COVERAGE FORM* filled out completely and copy and pasted into the set
  • Email files to pvha@pvha.org

HOW TO PROCEED if you are resubmitting plans, require stamps or picking up plans++

IF YOU ARE RESUBMITTING PLANS:

  • At this time, the Palos Verdes Homes Association and the Art Jury are only accepting electronic files of drawings for review.
  • Email revised electronic files to pvha@pvha.org.
  • If a fee is due, refer to step 3 above for payment directions.

IF YOU REQUIRE PVHA/ART JURY APPROVAL STAMPS FOR PERMITS:

  • This is the only time we will accept hard copy of sets.
  • Notify us by email when you intend on dropping off sets in the DROP OFF bin provided outside our office door.
  • Provide a total of 3 SETS.  PVHA will retain one set and the other two will be returned to the bin for pick-up.
  • We will review and compare the sets with the approved final working drawing set in our electronic files prior to stamping.  If there is any deviation in the design, the plans will be returned for corrections.
  • THIS PROCESS MAY TAKE 2 – 3 DAYS TO COMPLETE.  PLEASE PLAN ACCORDINGLY.  YOU WILL BE NOTIFIED WHEN THE PLANS ARE READY.  NO EXCEPTIONS.

IF YOU NEED TO PICK UP DRAWINGS:

  • PVHA will notify you when your plans are ready to be picked up.
  • The plans will be placed in the PICK-UP bin.
  • Please sign the release form on the clipboard provided in the bin.
  • If you cannot come by that day, then we would ask that you provide a date when you can pick up the drawings so we can arrange to have the plans in the bin that day.

* Architect’s Kit, Applications and Forms can be found and downloaded from our website pvha.org in the drop down menu under the Applications and Documents tab.  Information in this procedural document takes precedence over any conflicting information from previous forms and applications

++Bins will be rotated at the end of the day. The documents collected during that day will remain in the bin for an additional 24 hours to alleviate the threat posed by active viral particles.
